  • Overview

     Performs tasks to complete weekly, monthly and quarterly payroll.  Assists Personnel Administration with employee file maintenance.  Assists Human Resource Manager with projects involving compliance research & audits and collecting pending documentation/information from Field Managers.

    ESSENTIAL FUNCTIONS:

    Responsibilities

    * Compares Weekly Payroll Hours Sheets against billing Extra Work Job Tickets for hours balance and billing codes, prior to entering payroll and forwarding EWJTs to the Billing Dept.

    * Contacts associated field personnel to resolve employee and/or hours balance issues utilizing company phone and/or email communication.

    * Reconciles Employees Balances File with submitted Hours Sheets to confirm employee eligibility for requested Benefits Pay (Vac., P.T.O., Sick, Work Comp) or OFF, Leave of Absence. Follows up with associated Manager, if employee’s not qualified.

    * Processes monthly Auto Allowance and Commission Payments.

    * Collates and Reviews Time Cards for Injury Claims.

    * Calculates set up and processes weekly employee Salary Garnishments, including month-end documentation for Accounts Payable payment.

    • Enters, calculates, prints and distributes Company's weekly payroll.
    • Balances, releases and archives weekly payroll to Job Costing and other files.
    • Preforms weekly payroll transfers (Direct Deposit, Positive Pay (live payroll checks), 401k Transfer, tax postings and payments).
    • Posts weekly balances/costing data from Payroll posting file to Company accounting files.
    • Prepares and submits labor compliance reporting and payments for associated Public Works and other contracts on a weekly and monthly basis to prime contractors and government agencies as required.

       

    •  Prepares and submits apprenticeship requests and payments for associated Public Works contracts on monthly or as needed basis to prime contractors and gov’t agencies as required.
    • Maintains Job Ticket files as they pertain to Public Works accounting and compliance reporting.
    • Properly Reconciles, Corrects and Documents post Payroll Errors.
    • Able to print and distribute wage and hour reports to Management.
    • Performs Monthly and Quarterly Payroll File closure and related report generation for CPA.
    • Assist in department’s Year-end Processes (Employee Payroll Memos, W.S.F., AutoFringe Payroll preparation, Bonus distribution and W-2 distribution).

    • Ability to maintain strict and complete confidentiality.
    • Possesses strong verbal, written and interpersonal skills.
    • Ability to successfully address issues in an analytical manner.
    • Ability to work under pressure in a multitasking environment.
    • Ability to accurately enter 10 key data for most of the work day.
    • Ability to stand or sit using office equipment such as computer terminal, copier, calculator and fax machine for extended periods of time.
    • Ability to lift up to 35 pounds.
    • Vision abilities for this job include the ability to adjust focus for close vision work using a computer monitor for an 8-hour period of time.
